FAQ (YOUTH EXCHANGE SURVIVAL GUIDE)

Have you ever dreamed of going to another country and discovering how your peers live? Learning foreign languages? International ERASMUS youth exchanges are a great opportunity to experience adventures, gain new skills, and grow as a person.

Here are the answers to the most frequently asked questions!

1. Do I need to know English?

You don’t need to be a language expert! English is usually the main language, but many programs also give you the chance to improve it.

2. How long do Erasmus Youth Exchanges last?

The duration of the exchange depends on the program – usually between 5 and 21 days.

3. How will this help my future?

International exchanges give you unique experiences that are valuable both professionally and personally. You’ll learn how to work in a team, solve problems, and adapt to different situations. It’s also a great way to improve your language skills and make friends from all over the world. All of this gives you an advantage when starting your studies or looking for a job, as the ability to adapt and work in international teams is becoming more and more valuable.

4. What should I pack in my suitcase?

First of all, don’t forget the essentials – your passport, visa (if needed), insurance documents, and tickets. Pack light and comfortable clothes suitable for both everyday use and special activities (such as volunteering or cultural projects). If you’re traveling to a country with varying weather, make sure to bring clothes for different climates. Don’t forget personal hygiene items, a language dictionary, chargers, and of course, proper footwear. And finally, bring some personal items that will make you feel comfortable – like your favorite book or a notebook.

5. Where can I find youth exchange opportunities?

The best place to start is with official organizations, such as Eurodesk, Erasmus+…or volunteer project platforms, such as Volunteering Solutions or Idealist.

Online search tools dedicated to youth exchanges are also very useful, such as Youth.eu or GoAbroad. Also, check with your school or university, as many educational institutions offer exchange opportunities with different countries.

6. Where can I find information about “blacklisted” exchange organizations?

Reliability is very important. First, check whether the organization is listed in national youth associations, such as YouthPass or European Youth ForumIt’s also worth looking for reviews and recommendations from other participants. To avoid potentially unreliable organizations, you can consult forums of experienced participants or check websites like Trustpilot or Better Business Bureau. In addition, make sure the organization has a valid license and is accredited by local ministries of education and culture.

7. Can I choose who I will live with?

It depends on the program. Some exchange programs allow you to choose your accommodation based on your preferences – for example, staying with a host family or in a dormitory. In others, especially long-term volunteering programs, living arrangements may be decided by the organizers. However, in many cases, you’ll still have some options that can be adjusted to your needs and preferences.

8. What happens if I cancel my participation?

If you need to cancel your participation for important reasons, the first step is to inform the exchange organization. Each program has its own rules and procedures regarding cancellations, so you may be required to cover certain administrative fees or lose part of the funding. However, if there are serious reasons (such as health issues), the organization may offer an alternative solution.

9. Is it expensive to participate?

The cost of youth exchanges can vary a lot, but many programs – especially those linked to volunteering – are often free or very low-cost. Some organizations even offer scholarships that cover travel and living expenses.

10. What should I do if I lose important documents?

First, immediately contact your country’s embassy or consulate so they can block the lost passport and issue temporary travel documents. You should also inform the exchange organization so they can provide assistance and guidance. Don’t forget to keep copies of your documents stored separately from the originals – this will make it easier to get replacements if needed.

11. Who covers the travel and participation costs?

Projects are funded by the Erasmus+ program, which means that participation, accommodation, meals, and travel costs are covered by the organizers. Sometimes, organizations may charge a small participation or administrative fee.

12. Do I need to buy the tickets myself?

Usually yes – participants buy their own tickets after coordinating with the project organizers. Travel costs are reimbursed after the project once you provide proof of purchase (tickets, invoices, boarding passes, etc.). Reimbursement typically takes 1–3 months. Always check with the organizers in advance to know the maximum amount that can be reimbursed.

If a participant faces financial difficulties, we are happy to help – we don’t want money to be a barrier to joining. Once the participation documents are signed, the organizers can assist and even arrange the travel tickets.

13. Will we receive meals?

Yes, participants are provided with three meals a day, plus snacks during breaks. If you have special dietary requirements (vegetarian, vegan, gluten-free, etc.), you can indicate them during registration.

14. Do I need to speak English very well?

Basic English skills and a willingness to communicate are enough. The atmosphere in youth exchanges is friendly and supportive – everyone helps each other to understand. By the end of the program, you’ll definitely feel more confident speaking English!

15. Will I feel lonely if I go to the project alone?

At first, you might not know anyone, but don’t worry – organizers arrange ice-breaking and team-building activities to create a friendly atmosphere. Friendships are formed very quickly, and you won’t feel alone for long.

16. What will we do during the exchange?

You’ll take part in a wide range of activities – discussions, creative workshops, games, team challenges, international evenings, and much more. The program is designed to be both useful and fun.

17. Do I need to bring money?

You can bring a little money for personal expenses – snacks, souvenirs, water at the airport, and similar small costs.

18. Who is responsible for my safety during the youth exchange, and who can I turn to if I have any problems?

Your safety during the youth exchange is ensured by the project organizers and group leaders. They make sure activities are safe and the rules are clear. If you ever face any problems or feel unsafe, you can always turn to your group leader or the organizers for support.

19. Is health insurance mandatory during youth exchanges? What if the exchange takes place outside the European Union?

Yes, having health insurance is mandatory when participating in youth exchanges. If the exchange takes place in the European Union, EEA countries, or Switzerland, the European Health Insurance Card (EHIC) is sufficient, as it gives you access to necessary medical care under the same conditions as local residents.

If the exchange takes place outside the EU (for example, in Turkey, Georgia, or other countries), additional private travel/health insurance is required. For exact requirements and recommended coverage, always consult the project organizers before your trip.

20. If I am over 30 or under 18, can I participate in youth exchanges?


Youth exchanges are usually open to young people aged 18 to 30. If you are older than 30, you can still join as a group leader, provided you are 18+ and have the necessary experience.

If you are younger than 18, you can discuss it with the organizers. In some cases, exceptions can be made if you show strong motivation.
